Position Summary

The Associate Director will serve as an event planning and risk management consultant for student leaders planning various events and programs through their clubs and through the Residential College System at Rice University. Requiring strong experience with large and small scale events, this individual will walk student event planners through the planning process, provide feedback through a student affairs lens, focusing on: logistics, risk management, and policy with the goal of supporting students in creating a safe but dynamic student life experience. This position will facilitate club risk management programming, outreach to organizations engaging in campus-wide events, working with minors on/off campus, hosting alcohol related programming, and/or planning high risk events that need additional review and support. In addition, this position will advise a student board of Residential College Socials (lead event planners) and supervise the Assistant Director of Campus Events.

- Ability to educate regarding alcohol related event planning and risk management.
- Ability to interpret policy and rules related to event planning.
- Strong organizational skills and event planning skills.
- Must possess ability to work effectively and maintain relationships with Rice University students, faculty and staff.
- Ability to work autonomously as well as in a team.

Skills Preferred

- Leadership facilitation and programming experience.

Internal / External Contacts

Regular collaboration with student affairs staff, student leaders, faculty/staff advisors, and other offices across campus including but not limited to Risk Management, Environmental Health and Safety, General Counsel, Student Judicial Programs, RUPD, Rice Emergency Medical Services and Residential College Staff related to event planning, contracts and potential risk.

Physical Demands

Some physical labor required including lifting (up to 20 pounds), moving about campus, etc.

Working Conditions

Office environment plus interaction with students within the University environment. Work weekends and evenings as needed for student advising and event attendance.

- Actively work to establish strategic partnerships with departments across campus to strengthen the event planning process and enhance student life.
- Monitor and follow up on planning, event execution, and follow up of events and maintain records for future planning.
- Maintain visibility and active professional engagement with student leaders related to campus events.

- Outreach to clubs and various organizations hosting large or high risk events that may need follow up including but not limited to: travel, work with minors, crowds, large financial risk.

- Consult on club contract approvals along with General Counsel.

- Advise the Residential College Socials (lead event planners) encourage networking, sharing of resources, leadership development, and skill building for this team of student leaders.

- Serve on Leadership Summit planning team.
-Facilitate leadership development programming to support the Student Center mission as needed.
