Position Summary

Reporting to the Director, Alumni Regional Outreach, the responsibilities of the Assistant Director, Alumni Regional Outreach include overseeing outreach and alumni involvement in regional group programs; developing annual and long-term strategic and alumni program planning in collaboration with a variety of campus colleagues; and managing and cultivating alumni volunteers. The Assistant Director, Alumni Regional Outreach will work closely with colleagues across Development and Alumni Relations to ensure quality programming is offered in a wide range of locations outside of Houston.

Experience Preferred

Three years professional experience in the following:
- Volunteer and event management.
- Using and working with database information systems.
- Working in alumni relations.

License/Certification Required

Must possess (or have the ability to obtain one within 30 days of hire) and maintain a valid Texas driver’s license with no more than three moving violations and/or at fault accidents within the past 36 month, and no convictions or deferred dispositions for Driving While Intoxicated (DWI) or Driving Under the Influence (DUI) within the past five years.

Skills Preferred

Knowledge of MS Word, Excel, and Powerpoint.

Internal / External Contacts

INTERNAL: Frequent contact with many offices within the university, including all offices within the division and other administrative and academic offices. May include the President’s and Provost’s Offices as well as division heads, department chairs, students, faculty, and other staff members.

EXTERNAL: Extensive contact with Rice alumni; frequent contact with both internal and external vendors as well as others having business with the Development and Alumni Relations Division.

Physical Demands

- Must be able to move about the campus easily.
- Must be able to lift, carry, and set up materials (<20 lbs) as required for events.

Working Conditions

This position requires approximately 30% travel and the ability to work nights and weekends as needed.

Job Duties

Description of Job Duty

- Strengthen and maintain ties with alumni and friends in a portfolio of key regional groups outside of Houston.
- Develop, oversee and support consistent volunteer management across assigned regional groups. Provide guidelines and training to regional group volunteers. Assist regional volunteers in developing alumni group structures, succession planning, and consistent programs throughout the calendar year.
- Collaborate closely with Development and Alumni Relations colleagues on multi-city regional strategies. Ensure close communication across teams and volunteer leadership.
- Lead efforts to establish long-range regional planning in cities of varying size and alumni population.

Description of Job Duty

- Collaborate with Communications colleagues to manage and oversee communications and outreach to regional volunteers outside of Houston, and maintain clear lines of communication between regional volunteers across the country.
- Participate in regular conference calls and meetings with key regional volunteers. Provide guidelines and support to volunteers regarding event planning, outreach and budgeting for regional events.
- Develop and maintain consistent communication strategies for regional alumni groups, including the management and editing of regional alumni newsletters and event announcements.

Description of Job Duty

Work closely with the Director, Alumni Programs on the development of programs and with Alumni Relations and Development staff to align work with departmental and divisional planning, strategy and goals:
- Assist in the development and execution of annual budget priorities and strategic planning.
- Partner with alumni colleagues, communications and events team to determine and execute communication and event logistics to support successful programming.
- Create partnerships with divisional and campus colleagues to build understanding of these audiences and develop programming that addresses the interests and needs of students and young alumni and supports the strategies of campus partners as possible.
- Participate in departmental and divisional special project teams as a representative of Alumni Relations.
- Document important information and interactions with alumni and donors in the advancement system.
- Handle special project and other duties as assigned.
