Position Summary

This position will serve as a leader within the Recreation and Wellness Center, and direct the development of a comprehensive set of quality recreational programs and facilities that meet the needs of The University community. The incumbent will determine needs, establish goals, set direction, and evaluate programs, services and facilities.

The Associate Director for Facilities and Operations will report directly to the Senior Associate Athletic Director in charge of Recreation, and will serve on a senior management team responsible for creating and supporting a comprehensive array of programs and services that meets the wellness-related needs of the University community. As the individual in charge of facility oversight, the priorities for this position are to manage all of the space and infrastructure needs associated with the Recreation Center department, including the Barbara and David Gibbs Recreation and Wellness Center, an outdoor natatorium, the eight court tennis complex and six outdoor fields. The Associate Director will oversee and strategically manage all facility related budgets, as well as supervise members of the facility and operations staff. This position will work in conjunction with the Senior Associate Athletic Director on capital projects, long term financial forecasting and the development and execution of risk management and emergency preparation strategies.

Skills Required

Proven exceptional managerial, leadership, negotiation, and communication skills including both written and verbal. Proven ability to do a high level of strategic planning, conceptualization, and critical thinking in a complex, fast-paced organization. Proven accounting and fiscal planning skills.

Skills Preferred

Active involvement in NIRSA, AAHPERD, or related association.

Internal / External Contacts

Within the University: Extensive public contact with students, faculty, staff and guests who use the recreation facilities. Significant interaction with Risk Management, General Counsel and Facilities, Engineering and Planning offices. He/she is a viewed as a representative of the Recreation Department and behavior and decorum must reflect this at all times. Outside the University: Regular contact with Rice Donors and community members.

Physical Demands

Must be able to travel the campus and buildings. Must be able to move equipment weighing up to 50lbs.

Working Conditions

Constant noise in areas other than the offices. Working environment is often cold in winter and hot and humid in the summer. Maintenance work on the gymnasium floors and courts may cause odors to permeate the air a for short duration of time. Work on weekend or evening events may be required.

Oversee and work with other program staff in the coordination, planning and administration of special events. Serve as Director when required.

- With the Customer Relations Specialist manage facility usage and conflicts. Oversee all outside group reservations. Handle all financial matters in a collaborative effort with the Department Coordinator, CRS and Director relating to facility reservations. Serve as the department risk manager for recreational facility space through implementation of facility regulations, safety and emerging procedures and scheduled safety audits.

- Monitor the effective allocation of resources and adherence to standards for the Recreation Center. Provide leadership as a Senior Recreation Center staff member working directly with the Director to establish strategic goals and make decisions concerning their areas of oversight. Oversee, maintain and track revenue and expenditures for all operational budget accounts. Provide insightful long-term financial analyses, accurate revenue forecasts, cost projections, amortization and asset replacement schedules. Allocate and track student pay across the department.

- With the operations and facility supervisors, oversee, manage, maintain, keep accurate inventory and recommend to the Director purchases and upgrades for all facility technology and equipment. Which include, but are not limited to, facility management software and hardware, communications equipment, computer hardware/software, cardio/weight and facility equipment. Oversee the member management software use and accuracy of database. Serves as the point of contact for all technology department requests. IT responsibilities include purchasing, general troubleshooting, systems training and backup.

- In coordination with the facility supervisors, audits the facilities to identify remedial and preventative maintenance needs. In coordination with the Director, monitors a plan for maintenance and growth of the Recreation Center facilities and manages all capital projects. For all facility maintenance and capital projects; oversees the processing of the appropriate work order to address these needs, coordinates, and supervises the work activities with the building occupants; and monitors work performance to insure proper, timely, and cost effective completion. Manages all communications for closures, facility work, and change in hours, operational days and facility issues.

Ensure the continued professional development of employees, including the Recreation Center student employee development program. Manages Human Resources and payroll actions for their staff.
