Position Summary

The Program Administrator manages the administrative and fiscal functions of the Puentes Consortium from within the Mexico Center at Rice University’s Baker Institute. S/he supervises projects including the Summer Visiting Scholars Program, research grants, and public policy event to advance the mission of the Consortium. This position manages the budget, the day-to-day operations, events and outreach activities of the Consortium as well as the internal and external communications in coordination with Consortium participants.

The Puentes Consortium consists of four partner universities from Mexico and the United States — Rice University, Universidad de las Americas Puebla, Instituto Tecnológico y de Estudios Superiores de Monterrey and Universidad de Monterrey. The Consortium provides a forum for distinctive voices from the binational community of scholars researching public policy issues affecting both countries.

- Ability to prioritize and manage a diverse set of responsibilities.

Internal / External Contacts

Will have frequent contact with visitors to the institute, donors and supporters on phone calls, special guests visiting the institute, and staff members.

Physical Demands

Must be able to lift at least 25 pounds and work in front of a computer for up to eight hours a day.

Job Duty Name General Administrative Support and Coordination
Description of Job Duty

- Oversees and manages day-to-day business administration of the Consortium administrative operations for the department such as human resources, purchasing, the membership program, and oversight of administrative support to the Program Director.
- Serve as the primary point of contact for all visitors and calls to the Consortium.
- Maintain key Consortium files including academic and personnel records, institutional correspondence, and financial information.
- Plans, manages and coordinates events including Consortium meetings, workshops, or public events.
- Support any special research projects involving Consortium members in local, national or international institutions.
- Other duties as assigned.

- Create and distribute key Consortium documents and other information to members and other stakeholders in a timely and professional manner.
- Work with University stakeholders to develop and maintain an informative and updated website for the Consortium.

Description of Job Duty

- Plan, manage and monitor budgets for Consortium projects as well as the overall finances of the Consortium.
- Process financial transactions for the Consortium, including invoices, check requests, travel reimbursements, purchase orders, and gift receipts.
- Liaise with the University finance office to assure compliance with policies and procedures.
