Position Summary

The Development Specialist is responsible for facilitating the engineering development team in achieving their individual and group goals and coordinating the engineering donor stewardship efforts. Under the primary direction of the Director of Development – Team Lead, he/she works directly with development officers, dean, faculty, staff, and key volunteers in coordinating the forward momentum of the overall development effort for the school of engineering. The Development Specialist coordinates the administrative and fiscal operations of the engineering development office, assists with the development and implementation of stewardship plans for engineering, and facilitates special projects and events for the Dean that involve engagement of the School with members of the external Rice community.

Skills Required

COMPUTER SKILLS: Strong working knowledge of personal computers is required, including advanced skill sets in all Microsoft Office modules; strong internet, web, and email skills; and experience working with databases.

Demonstration of exceptional verbal and written communication skills is required. Also required are strong organizational skills within a multitasking environment; strong personal qualities of self-direction and self-motivation; ability to summarize fully and concisely, strong people-oriented demeanor, maturity in judgment, creativity, and the ability to interact positively with widely diverse personalities. Must have the ability to maintain a high degree of confidentiality and integrity.

Skills Preferred

Extensive knowledge of Rice and/or Rice work experience; fundraising exposure in an educational/non-profit setting; strong knowledge of Rice donor base.

Internal / External Contacts

INSIDE THE UNIVERSITY: Frequent personal, written, and telephone contact with all levels of faculty and administration, including the office of the President.

OUTSIDE THE UNIVERSITY: Frequent personal, written, email, and telephone contact with donors, alumni, and volunteers.

Physical Demands

Must be able to get around campus.
Occasional lifting (up to 50 lbs.) may be required at events.

Job Duty Name DEVELOPMENT AND ALUMNI RELATIONS
Description of Job Duty

- Identify, recommend, and execute operational plans for development activities within the School of Engineering.
- Alumni relations, including interacting with volunteer engineering alumni groups (e.g. Rice Engineering Alumni)
- Collaborate with and solicit the services of the Research, Events, Alumni, and Constituent Relations areas within Development and Alumni Relations as needed to ensure operational efficiency and success of development efforts within the School.
- Lead the effort to develop and implement processes and procedures to ensure effective, efficient, and collaborative management of development operations.

Job Duty Name ADMINISTRATIVE
Description of Job Duty

- Manage and reconcile the budget.
- Serve as liaison between the dean’s office and regional development officers.
- Keep abreast of any ongoing development projects within the School of Engineering to serve as back-up for communications with the dean in the absence of the development officers.
- Ensure officers are kept up to date on campus events, major gifts, campus-wide development, training opportunities, etc.
- Monitor project and administrative activities and events that involve the engineering team. This will include coordinating the daily team schedules, preparing correspondence, and conducting administrative reporting.
- Track and report progress of all tasks to Director of Development – Team Lead and development officers when appropriate.
- Track goals and objectives to ensure they are completed.

Data management:
- Monitor prospect lists for each development officer on the engineering team.
- Track and ensure implementation of “next steps” and follow up items as part of the overall donor life cycle process.
- Coordinate the maintenance of the Millennium database with Development and Alumni Relations.
- Coordinate Engineering travel plans with travel plans of regional officers, facilitating an environment of information-sharing.
- Coordinate administrative activities for the School of Engineering’s development office.

Job Duty Name CONSTITUENT RELATIONS / STEWARDSHIP
Description of Job Duty

In conjunction with the Engineering Development Officers:
-Develop and implement systems, processes, and procedures to manage donor follow-up with regional development officers and dean.
- Identify stewardship needs, create and implement stewardship programs, and enlist the support of Engineering faculty and development staff as needed.
- Work with Development and Alumni Relations to ensure stewardship activities are performed in a concerted manner.
- Coordinate and integrate the stewardship efforts of the Office of Development and the office of the dean, departments, institutes, and centers of the George R. Brown School of Engineering.
- Facilitate cultivation and stewardship efforts for the School of Engineering.
- Ensures all communications are filtered through this position so that cultivation and stewardship efforts are effective, appropriate, and worthwhile.
- Provide engineering information as requested by regional officers.
- Ensure all next steps from development meetings are completed and followed through on.
- Organize meetings for the Dean.
- Fields requests for the Dean’s participation in donor and prospect meetings to ensure they are appropriate.
- Assist in the creation and writing of donor proposals, briefings, and other engineering development fundraising materials.

Job Duty Name EVENT MANAGEMENT AND MEETING SUPPORT
Description of Job Duty

- Plan and coordinate logistics of informational, fundraising and stewardship meetings for Engineering Development Officers.
- Plan and coordinate all logistical aspects of the Dean’s bi-annual EAB meetings. Identify, select, and make arrangements for the venue, food, beverages, decorations, etc.; negotiate event contracts (venue, food, etc.); develop and implement meeting agenda, invitations, suggest potential event guests and speakers, maintain RSVP information and serve as operations manager during the meetings.
- Work collaboratively with School of Engineering Dean, faculty, Engineering Development team, Development and Alumni Relations staff, and others as needed to create and execute successful development meetings.
- Lead planning and coordination of annual alumni awards dinner.
- Work collaboratively with School of Engineering Dean and Dean’s office staff, faculty, Engineering Development team, Development and Alumni Relations staff, and others as needed to create and execute successful development meetings.

- Conduct prospect and donor research and/or solicit prospect and donor research from Development and Alumni Relations.
- Develop information about prospective donors.

- Maintain donor and prospect information.
