Position Summary

This position provides overall administrative support to the assistant and associate directors for the direct marketing function of the Rice Annual Fund (RAF) by:
- coordinating schedules and calendars;
- attending to phone and email correspondence;
- completing gift memos for donations taken by phone;
- coordinating alumni records updates;
- routing direct marketing team invoices and preparing expense reports;
- providing marketing coordination support and execution of marketing duties, including: implementing basic copy/design edits to existing marketing collateral (print/email);
- assisting with bulk mail production;
- preparing merged emails;
- managing RAF social media accounts;
- producing and distributing direct marketing data reports;
- testing and distributing emails to a variety of alumni, parent, volunteer and donor segments;
- monitoring success rates of e-marketing pieces.

Skills Required

- Strong working knowledge of personal computers is required, including moderate-level mastery of all Microsoft Office modules with emphasis on Word, Excel, and Outlook;
- Strong internet, web, and email skills;
- Experience working with databases.

- Proficiency with email and marketing platforms such as Bronto, MailChimp, etc.;
- Social media marketing platform experience (such as Hootsuite, etc.).

- Able to present him/herself professionally to external constituents at donor and volunteer events;
- Possess exceptional verbal and written communication skills, including the ability to summarize fully and concisely.

ORGANIZATIONAL SKILLS: Strong organizational and project management skills within a multitasking environment.

- Strong personal qualities of self-direction and self-motivation;

- MS Excel: formulas, filters, sorting and formatting;
- MS Word: Mail merge, graphic layout, paragraph and outline formatting.

Job Duties

Description of Job Duty

- Load copy into email template, upload data merge files into variable fields, test drafts for integrity of messages and distribute.
- Implement copy/design revisions to marketing collateral.
- Prepare and distribute pledge reminders and stewardship thank you pieces for email distribution.
- Manage RAF social media accounts.
- Execute minor updates to RAF website.

Description of Job Duty

Provide general administrative support for the direct marketing effort of the Annual Fund by:
- scheduling appointments, and maintaining calendars;
- monitoring and responding to Annual Fund phone and email inquiries;
- completing gift memos for donations made by phone;
- submitting donor updates to alumni records staff;
- coordinating Annual Fund solicitation information and reports with others in the division;
- assisting with Annual Fund mailings by: merging data into draft templates, verifying correct mergefields, producing printed letters and envelopes and any accompanying materials (i.e. pledge forms) and preparing for mailing.

Coordinate data collection and distribution by:
- gathering data for regular and ad-hoc reports and meetings;
- producing month-end reports regarding progress on direct marketing goals;
- distributing reports to direct marketing Assistant and Associate Directors and to the Executive Director and various team members of the Rice Annual Fund as needed.
