Position Summary

The Research Administrator – LANP Group provides administrative and financial management support for the LANP director and faculty members. S/He will play a significant role in team building and constituent relations for the group. The Research Administrator – LANP Group usually has heavy financial and budgetary responsibilities, including control, planning, web administration and development, and making recommendations to the director. S/He will also have frequent/direct communications and interactions with international students and scholars.

- Five years of experience utilizing an BBA or other business related degree in a higher education environment with proficiency in organizational financial management.
- Corporate or higher education management of personnel and grants/contracts with federal/state agencies.

- Experience an integrated financial system (e.g. Banner, PeopleSoft, SAP).
- Utilization of database systems and software
such as FileMaker Pro, spreadsheets (Excel), and strong written and verbal communication skills to write clear, concise correspondence on a wide range of topics.
- Demonstrates the ability to effectively communicate with international students and scholars.

Works with a wide variety of individuals at Rice, government, industry, external affiliates of the department, and other collaborating institutions.

Physical Demands

Must be able to work in an office environment, often at a computer workstation for much of the working day. Must be able to move between buildings widely separated on a college campus and up and down stairs. Requires long period of sitting and working in front of a computer – up to eight hours per day.

Working Conditions

May require long hours and availability outside normal working hours and on weekends on quarterly basis due to grant deadlines and/or work on major projects. The office environment is fast-paced and sometimes stressful due to interruptions that require successful candidate to multi-task.

Description of Job Duty

- Manage day-to-day operations and procedures for the LANP group.
- Manage LANP staff searches and hiring (research scientists, postdocs, summer interns). This includes handling visa applications for international personnel.
- Schedule visits for lecturers, interns, visiting researchers, postdoctoral fellows to include travel arrangements, and organizing visa applications. Prepare professional service agreements as appropriate.
- Manage and provide direction to LANP group members regarding frequent and complex travel arrangements.
- Assist in recruiting and managing reviewers for publications.
- Draft correspondence for LANP director including reference letters.
- Oversee class requirements (ELEC 602).

Job Duty Name Financial/Grant Management
Description of Job Duty

- Manage submission of complex research proposals (NSF, Grants.Gov, industry contracts, fellowships) for individual PIs and interdisciplinary/inter-institutional groups. Prepare detailed budgets and budget justifications, projections (award balances and salary projections) and other documents needed for proposals, with attention to the guidelines of external grant agencies. Manage the proposal process with subcontracting institutions, other Rice departments and centers, and the Office of Sponsored Research.
- Manage the finances of LANP faculty, to include providing accounting reports, budget planning, and forecasting. Oversees reconciliation of accounting records including expenditures, transfers, expense reallocations, complex business/entertainment and travel statements, and revenue deposits. Ensures compliance with sponsor and institutional policies.
- Develop proposals, presentations, and reports for the group. Monitors project progress and maintains project records. Plans events and site visits.
- Supervise students or temporary staff.
- Interact with campus business units, such as RCA, OSR, VPR, and Payment Solutions to determine best practices for directing both fiscal accountability and proposal development.
