Position Summary

The Systems & Reporting Analyst is responsible for creating and maintaining reports and associated systems for Sponsored Projects and Research Compliance (SPARC). The Systems & Reporting Analyst will also facilitate requests from the Rice Research community for ad hoc reports under the supervision of the Assistant Vice Provost for Sponsored Projects and Research Compliance.

Education Preferred

Bachelor’s degree in business or computer science with experience in a quantitative discipline such as economics, finance, statistics, or engineering.

- Experience providing technical assistance for various systems for end users.
- Experience in business or research administration.

Experience Preferred

- More than two years of database management experience; experience generating high level reports & data and administrative support to a director level position.
- Experience using business intelligence tools such as Tableau, SQL, Cayuse, and Banner.

Skills Required

- Proficiency in query design, report creation, business analytics tools, data analysis, and creating graphic representations of data.
- Good understanding of web development (HTML).
- Proficiency in MS Office products such as Excel, Word, Access, and Outlook.
- Proficiency in using various computer systems with the ability to learn new software and provide technical support to end users.
- Excellent oral and written English communication skills.
- Proven accuracy and attention to detail.

Skills Preferred

- Understanding of rules and regulations as they relate to grants and contracts and research compliance.

Internal / External Contacts

Will work with with faculty and staff in academic departments and other central offices such as: Office of Information Technology, Office of Research, Office of Institutional Research, Animal Resources Facility, Environmental Health and Safety, Office of Corporate and Foundation Relations, General Counsel, Office of Technology Transfer, and Research and Cost Accounting. External contacts include vendors for the various grants and contracts systems and research compliance systems.

Physical Demands

Constantly perform desk-based computer tasks and work at a computer for 8 or more hours a day.

Working Conditions

Standard 40 hour work week with occasional weekend/evening work may be required to meet deadlines.

Description of Job Duty

- Responsible for the quality and integrity of data for the Pre-award database, including monthly reconciliation, training, and queries.
- Create, refine, and prepare monthly, annual, or ad-hoc reports for Sponsored Projects and Research Compliance (SPARC) and other units at the university.
- Create and prepare internal workload reports.
- Perform and provide basic statistical analysis of data for reporting purpose.
- Under the direction of the Project Manager consult with the Office of Information Technology.
- Identify workflow/system improvements and work with AVP for SPARC and the Project Manager to enact change; develop graphs, reports, and presentations of project results.
- Assist with creating & performing data analysis for the Annual Report for Sponsored Projects and Board of Trusties reports.
- Develop, implement, and manage data entry processes and procedures to ensure data integrity.
- Develop custom reports for university faculty and administration which includes consulting with the requester, gathering requirements, and creating the reports.
- Assist in the analysis and design and maintenance of various data sets.

- Coordinate and provide support for the electronic research administration systems, including system management, functionality testing, and communication with users as required.
- Design and create e-forms and other web-based research administration tools.
- Provide help desk support for the various SPARC systems to internal and external customers.
- Assist the Project Manager to develop solutions for SPARC.
- Interact with system vendors to implement software updates and technical aspects of SPARC systems.
- Create, maintain, and coordinate approvals for institutional user accounts, profiles, and vendors, for the various internal and external systems.
- Maintain internal CITI database.
- Coordinate with IT and Administrative Systems on data and system access.

Description of Job Duty

- Provide support to the Assistant Vice Provost for SPARC for reports and requests for information using discretion and confidentiality. Support includes running reports, conducting data analysis, pulling award and contract information.
- Ability to provide urgent ad hoc reports.
- Maintain up-to-date knowledge of pertinent policies and procedures, within grants and contracts proposals and awards, and research compliance, as well as SPARC and the university policies.
- Assist in the development of procedures related to systems and reporting.
- Make recommendations for improvement of office procedures, especially in the area of systems and reporting in order to improve efficiency and improve service to the university community.
- Provide support and coordinate review of system products and maintenance of office equipment.
- Responsible for the grant closeout process ensuring the funding agencies has all appropriate final reporting for proper closeout. Prepare files for closeout including archiving unfunded proposals and awards that have ended. Maintain record of archived files and destroy files in a timely manner.
