Position Summary

Under the supervision of the Director of Marketing & Production, Development & Alumni Communications, the Communications Coordinator manages the planning, implementation and production of all projects requiring creative services from the Communications Team. Projects may include but are not limited to print, online, social media and video. The Coordinator works closely with internal writers, web developers, graphic designers and videographers, as well as with external communications vendors (design firms, printers, mail houses, etc.) and campus constituents (Rice Public Affairs, the School of Humanities, etc.), to ensure that projects are completed efficiently, on time and at the highest level of quality.

The Coordinator also provides overall administrative support for the Communications Team by:
- maintaining a master communications calendar;
- acquiring mail or e-mail recipient lists;
- tracking and processing communications expenditures;
- setting interview appointments with faculty and students or coordinating photo shoots;
- producing and distributing communications data reports;
- coordinating travel arrangements.

Associate’s degree or higher; coursework in a communications related field.

Skills Required

COMPUTER SKILLS: Strong working knowledge of personal computers is required, including moderate-level mastery of all Microsoft Office modules with emphasis on Word, Excel, and Outlook; strong internet, web, and email skills; and experience working with databases.

COMMUNICATION SKILLS: Able to present him / herself professionally to external constituents at donor and volunteer events. Demonstration of exceptional verbal and written communication skills is required, including the ability to summarize fully and concisely.

ORGANIZATIONAL SKILLS: Strong organizational skills within a multitasking environment.

PERSONAL TRAITS: Strong personal qualities of self-direction and self-motivation; strong people-oriented demeanor, maturity in judgment, creativity, and the ability to interact positively with widely diverse personalities. Must have the ability to maintain a high degree of confidentiality and integrity.

Skills Preferred

- Familiarity with emailing software (i.e. Bronto, Mailchimp, etc.);
- MS Excel – formulas, filters, sorting and formatting;
- MS Word – Mail merge, graphic layout, paragraph and outline formatting;
- Outlook – Meeting agenda and minutes;
- Familiarity with project management software such as Teamwork – run reports, exports, etc.;
- Familiarity with Filemaker.

Internal / External Contacts

INTERNAL: Will have written, email, and telephone contact with students and all levels of faculty and administration.

EXTERNAL: Will have written, email and telephone contact with donors, alumni, volunteers and external communications vendors.

Physical Demands

Must be able to move about the campus. Must be able to lift and carry boxes up to 20 lbs. (e.g., print materials).

Working Conditions

The person in this position will spend much of his or her time using a computer and meeting with others on collaborative projects. Occasional attendance at after-hours departmental events on or off campus may be required.

Job Duties

Description of Job Duty

- Coordinates the Communications team’s production of a variety of communications pieces – including mass appeals, engagement and stewardship pieces, e-newsletters, event invitations and more – via mail, email, print production, video production, etc. and for various partners across the division (including Alumni Relations, events, and fundraising teams or individuals) who require creative and/or marketing services.
- Establishes and maintains project schedules including a master communications calendar for the division, tracks deliverables with various team members, and assists in drafting creative briefs.

Description of Job Duty

- Engages external communications vendors such as design firms, printers, mail houses, etc. to provide quotes, samples, and schedules for various deliverables and liaises with them on an ongoing basis to keep projects on track.
- Works with internal partners to acquire mail and/or email recipient lists and distributes lists as needed.
